This information is for all new international vocational education (VE) students enrolling for the first time.

If you’re enrolling in an English Language Intensive Course for Overseas Students (ELICOS), the way you enrol is different. Refer to your acceptance confirmation email on how to attend an enrolment session or look for the steps specific to you on this page.

Need to defer?

If you need to delay the date you start your course or take time off from studying at the start of your course, you may be able to defer your course. You need to defer before the first census date in your course. Contact studentHQ to find out more and get help with deferring as an international student.

How to enrol and select your units

Before you start, you’ll need the following things on hand:

  • Your offer letter email
  • Your course planner to assist you with your enrolment
  • Your Unique Student Identifier (USI). If you don’t have one, you can get a USI here.
  1. To begin, you’ll need to log into your student portal, My Swinburne.
  2. If this is your first time logging in, you’ll need to set your password. Your email address will be your student ID, as it appears in your offer letter, @student.swin.edu.au. For example, 123123@student.swin.edu.au.

If you’ve logged in before, use your existing password. Forgotten your password? You can reset your password here using your student ID.

  3. At Swinburne, we use multi-factor authentication (MFA) to ensure your login details and accounts are well protected. If you’ve never used MFA before, you’ll need to set this up on your devices now. Find step-by-step instructions for setting up and using multi-factor authentication here.
  4. Now you can log in to My Swinburne.
  1. To check that your student details are up to date, select the My Details tile. Not all details will be editable, as some will have been confirmed during the application process.
  2. Update your details where necessary and click Save.
  3. To return to the homepage, click the home icon

The My Tasks section of your student portal is where you’ll find your to-do list. This includes tasks you’ll need to complete before enrolling – like responding to terms and conditions and submitting your Unique Student Identifier (USI).

There is some flexibility around how you choose to complete tasks, though you will need to complete all tasks marked ‘Mandatory’ before progressing to the next step.

If at any time you’re unsure of what’s required of you, visit the My Tasks tile.

To complete a task, click Respond and read the instructions carefully.

If you’re a new VE international student and you’ve completed the previous mandatory tasks in the My Tasks tile, you will be guided to select a block group.

What’s a block group? In most Vocational Education courses, you won’t need to select classes or schedule your own timetable. You’ll only need to choose a block group, which will include a schedule that is set up already for you.

  1. To choose a block group, click on the My Tasks tile on your student portal homepage. To see a block group’s timetable and ensure it works for you, click View timetable. To join a block group, select Register.
  2. If you need to enrol in units, you can begin by clicking on the relevant step in My Tasks. Refer to your course planner for which units – and how many – to enrol in. Click Enrol
  3. Once you've registered for a block group, the My Calendar tab in your portal will soon reflect your schedule. Along with, if applicable, your fee due dates, census dates, and exams. Please allow 72 hours after enrolling for your calendar to show your commitments.

If you’re a new international English Language Intensive Courses for Overseas Students (ELICOS) student, head to the portal homepage, and click the My Study tile to select your units and plan your course.

  1. Click on your course to begin making selections.
  2. From the left-hand sidebar, select the Manage My Course tab.
  3. Select the unit levels that apply to you. The View button opens additional information about each unit, including scheduled hours, prerequisites and more.
  4. The window should then show your unit options. Select an A and B unit and click Add to plan.
  5. To select more units for your course, return to the Manage My Course tab and select levels 4 or 5 and repeat the above steps.
  6. Once you’ve selected your elective units, your enrolment will be finalised by Swinburne staff.
  1. Select the My Calendar tile on the portal homepage.
  2. The units you selected will automatically show in your calendar. Select a date range to view your timetable for a particular week. Note: your calendar may take up to 72 hours to update with your timetable.
  1. To view your finances, make a payment, or see your outstanding fees, select the My Finances tile from the portal homepage.
  2. The Transactions tab leads to a page where you can make full or partial payments. The View button next to each item provides more information.
  3. Follow the prompts if you’d like to make a payment at any time. An outstanding fee will be marked Unpaid, while a paid fee will be marked Complete.
