Question: How do I transfer records from the Swinburne library catalogue to Endnote?

Note: The Swinburne firewall prevents any use of the Tools/Online Search function when using a Swinburne computer. This will only work for computers using internet access from other providers. (updated May 08)

Installing the Swinburne U of Tech filter.

  1. Click on this filter link.
  2. A dialog box will ask you if you want to open the filter with Endnote. Click on OK.
  3. Your computer will start running Endnote. Switch to the Endnote screen.
  4. Endnote will install the filter and open a filter summary screen. Close the summary screen.

You now need to select the filter.

  1. Within Endnote, click on the Tools dropdown menu
  2. Click on the Online Search option
  3. Click on Online Search
  4. Click on the Find button
  5. Click on “by name”
  6. Type in Swinburne
  7. Click on the filter name
  8. Click on the Connect button
  9. You will be connected to the library catalogue and presented with a simple search screen.

The next time you wish to search the library catalogue from within Endnote:

  1. Within Endnote, click on the Tools dropdown menu
  2. Click on Connect
  3. Click on Swinburne U. of Tech

Question: I have to work on a couple of different computers. What's the best way to move the Endnote files around?

When you need to use more than one computer, we recommend that you put the master library and data directory on a portable drive like a USB memory stick. It is VERY important that you always put your research directory on the top level of the directory tree for each computer or backup drive. Please read "I moved a copy of my Word and Endnote files from my USB to my desktop and now I'm getting error messages" to learn how to transfer directories safely between computers and USBs.

Keep backups on the other pcs, but always make changes to the master file. (otherwise you risk overwriting new work.)

If you use Cite While You Write, you should also keep your Word files on that portable drive. This prevents the Word-Endnote links from "breaking" when you shift from one computer to the next.

Question: I have a couple of styles in my dropdown list of “favourites” that I no longer use. How do I remove a style that has been selected in the past?

  1. Click on the style in your favourites list to select it.
  2. Click on the Edit drop down menu
  3. Click on the Output Styles option
  4. Click on Open Style Manager. The computer will open up the styles list. If the style you wish to remove is not shown, scroll down until you see it.
  5. There should be a ticked box next to the style name. Click on the tick to remove it.
  6. Close the Style Manager.
  7. The style is no longer on your dropdown list.

Question: How can I transfer records from Supersearch/Google Scholar/Pubmed/Scopus/Emerald? Will it get me the full text?

You will not get the full text in any transfer from a database to Endnote. You need to download the pdf or text manually.

Question: Can I transfer records from Gale?

  1. Perform your search in the Gale database and mark the records you wish to transfer
  2. Click on the Marked Records link
  3. Click on the How to Cite Marked Items link
  4. At Export to a third party software select EndNote
  5. Click Export.
  6. You may get a dialogue window asking if you wish to use a Web Export Helper. Click on OK.
  7. Your Endnote program should now activate. Select the library into which you want the records imported.
  8. The computer will open the library and import the records.
  9. The newly imported records will be displayed in a summary screen. You can now add download dates or database information.
  10. Click on References/Show all References to see your entire library.

Question: How do I search within my Endnote X1 library?

Endnote X1 has a quick search window next to the Current Styles dropdown menu.

Type a keyword into the quick search window and hit the enter key, or click on the binocular image to get the advanced search window.
