What if I need a student file?
RMS does not create hard copy student files anymore. Student files are now available online at http://www.swinburne.edu.au/corporate/scs/rms/student_records_online.html. If required information is not available online please email your request to records@swin.edu.au

What do I do if I need access to Student Records On-line (SRO)?
You need to fill our SRO Access Form available from Student Records On-line page. The form need to be signed by your manager and forwarded to Records Management Consultant. Access to SRO is not available to casual staff.

What if I need a corporate record?
If you require a corporate record please send email to records@swin.edu.au

What if I need access to legal agreements?
For access to legal agreements, first point of contact is Records Management Officer - Student Results on X4606 & then it is subject to approval from Swinburne Legal.

What is the time frame in receiving student/corporate files from offsite storage, including urgent requests?
The time frame for receiving files is within 5 working days of receipt of request.   Any urgent files carry a courier fee of $50 per service for next day delivery.

How often are offsite student/corporate records ordered & when do they arrive?
Offsite records are requested on a once a week basis via the Compu-stor website. Requests should be reported to RMS staff by no later than 3pm, Fridays.  Any requests after 3pm will be ordered the following week.

Can I send student/corporate files through internal mail?
No files are to be sent through internal mail due to privacy & security reasons.  All files should be hand delivered & given to an RMS Officer.

Who are our offsite storage providers?
Our offsite providers are Compu-stor located in Altona, Victoria.

What if I need TRIM training?
If you require TRIM training please contact Records Management Consultant, on X8222 to schedule an appointment.

What if I need to do archiving?
Please contact Records Management Consultant on X8222.

What if a student requires viewing their file?
A student is allowed to view their own student file, however, for retrieval purposes, 24 hours notice is required. The student will be asked for Identification prior to viewing. If you require any further information please refer to Student Records Online link.

What if records due for destruction are subject to the FOI request of Privacy Act application?
No records subject to the FOI request of Privacy Act application can be destroyed during the duration of the process. Please direct all your queries or concerns to the Manager, University Records and FOI
