What does the Internal Communications strategy do?

The Internal Communications strategy aims to deliver staff communications effectively across all Swinburne campuses. The Media and Communications Unit (MCU) will direct all requests to the most appropriate channels, and help you find the best method for communicating to your target audience.

As well as reading the weekly Staff Bulletin, staff should also refer to the staff homepage on a daily basis to find out what is going on across the organisation. Seminars, alerts from Facilities and Services, events and other activities happening at Swinburne are updated throughout the day.

To communicate items of a social or trading nature, the Staff Bulletin Board and Swinburne Trading Post should be used. You can find these tools on the staff homepage.

What areas of internal communications are covered?

The Internal Communications strategy covers three areas:

  • the Staff homepage,
  • Official Email and
  • the weekly Staff Update newsletter

What changes can we expect to see?

You can expect to see changes across the key areas mentioned above:

Staff homepage
The design of the Staff homepage has been updated to include regularly-updated content that is relevant and would be of interest to staff. This includes the latest news and events at Swinburne, as well as announcements that require your attention.

You will still be able to access links to essential staff resources on this page, like EWSS, the Internal Communications Directory and Groupwise Email.

Official Email
You can expect to see a reduction in the volume of Official Email. As the University's primary method of communicating with all staff members, Official Email should only be used for messages that relate to the official business or operations of the University. These types of messages must be relevant to, and have an impact on, all Swinburne staff.

If you are unsure whether your email message is appropriate for Official Email, please feel free to contact the Media and Communications Unit (MCU), and we will be more than happy to help you confirm if your message is in accordance with the Official Email policy.

Weekly Staff Update newsletter
The weekly Staff Update newsletter is emailed to staff every Thursday afternoon. You can use the newsletter to communicate to all staff, in place of Official Mail. It will also incorporate some HR content, such as weekly job opportunities and work-related announcements.

How does this change the way I communicate with staff?

This strategy covers university-wide communications - it should not affect how you communicate within your own team, department or faculty.

The only change in your current staff communciations process is that you should now email your requests or content submissions for the Staff homepage and the Staff Bulletin to staffcomms@swin.edu.au. You could also forward any Official Email requests to the MCU to ensure that it is in accordance with the Official Email policy, prior to releasing the message. Please refer to the step-by-step guidelines in this toolkit.
