Fee & Assistance

Information Maximum fees are payable by those families who do not register with Centrelink. These families can apply for a rebate upon completing their annual taxation claim.

The level of Childcare Benefit receivable determines the actual fee payable by any family. Current fees are available from the Co-ordinator.

Childcare Benefit

Childcare Benefit is paid directly to the Centre by the Commonwealth Department of Health and Family Services to offset the costs of childcare to families. Parents are required to register with Centrelink. Parents and the Centre are notified of the percentage of Childcare Benefit allowable to the family via an Income Assessment Notice. This is a tiered system of relief based on the family income. Parents need to apply at the beginning of each year. Full fees are payable until this notification has been received by the Centre.

Child Care Benefit payments will be credited against the account once advice of approval has been received from Family Assistance Office.

 Continuing Care

Payment of Fees

Fees are charged on the hours booked for your child at the centre even though your child may be absent during this time due to illness or holidays. This ensures your child’s place is held. Public holidays will be charged for. Fees are not charged when the Centre is closed over the Christmas closure. An administration fee of $60.00 is charged when a child is removed from the Centre and returns to care within six (6) months.

Payment can be made by either cash or cheque. Cheques should be made payable to the Swinburne Children’s Centre and placed into the green letterbox outside the office. Cash must go into an envelope with the amount and child’s name then given to a Level 3 staff member who with the parent will sign it into the cashbook.

Cash will not be accepted after 5pm for security reasons. Change is unable to be given. If the Co-ordinator is not present then the parent & staff member will fill in and sign the cash payment book, which is left in the top of the GREEN cheque mailbox.

Children who use the Centre on an occasional basis must have their fees paid for prior to parents leaving them for the day.

Outstanding Fees

Fee payments must remain up to date at all times. If, for any reason, you experience difficulties that cause disruption to your fee payments, please speak to the Centre Co-ordinator to arrange a payment plan.

A fee reminder notice requesting payment will be sent out if fees fall more than two weeks in arrears.

Fees outstanding for more than two weeks will put your child’s place at the centre in jeopardy, unless prior arrangements have been made with the Co-ordinator. An accounting fee of $5.00 will be charged for all outstanding fees. This will be added fortnightly when accounts are processed while fees are outstanding.

Families who leave the Centre without finalising their fees will not be able to re-enter until all outstanding Monies have been received.

Holidays

The Centre is closed on all Public Holidays. Normal fees are payable for these days.

The Centre will be closed for two to four weeks over the Christmas period to allow staff to take their Recreation Leave. The length of time the centre will be closed will be determined by the needs of the families using the centre. Notification of the closing dates will be announced toward the end of each year.

No fees are charged for this end of year break, but a holding fee is required and must be paid prior to the holiday break.

Children’s Absences

Reasons for absences are to be recorded on all fee accounts. This is a requirement of the Commonwealth Department of Health and Family Services as each child has 30 absence days a year (July -June) where childcare benefit is paid. Where a medical certificate is provided, these days are not counted in the 30 absences.

If your child is going to be absent from the centre, please notify us as early as possible.

Late Fee

Regulations require 2 staff to be in attendance at all times children are present on the premises.

Parents are reminded that the Centre closes promptly at 6.30 pm.

Parents arriving after 6.30pm will incur a late fee of $1.00 per minute for the first 15 minutes (a minimum of $15.00) and $2.00 per minute thereafter.

Parents who arrive after their designated departure time may incur the above late fee if staff are required to stay beyond their shift to ensure the correct child/staff ratio.

Holding Fee

To ensure that your child’s place is held over the Christmas period two weeks fees in advance are charged. The amount paid will be credited to the first account upon return, within two (2) weeks of opening or as arranged with the Centre Co-ordinator.

 Ending Care 

Notice of Withdrawal

If for any reason you wish to cease care, you are required to give two weeks notice in writing to the Co-ordinator, to enable us to complete required documentation. Should this notice not be given, it will be necessary to charge you full fees.

Administration Fee

The Executive Committee reserves the right to charge an Administration Fee for processing termination and re-entry of children. The Administration Fee is non-refundable. Any re-application received by the Centre within 6 months, will be subject to a $60.00 Administration Fee.
